The Experience Hair Studio 📜general POLICIES

 The Experience Hair Studio | San Antonio, TX

Thank you for choosing The Experience Hair Studio.

To maintain a smooth schedule and provide every client with quality service, please review and agree to the policies below before booking.


1) BOOKING & DEPOSITS

  • A deposit is required to secure your appointment.
  • Deposits are non-refundable and are applied toward your service total.
  • Appointments are not confirmed until the deposit and booking details are completed.


2) CONSULTATIONS (REQUIRED)


Consultations are required for:

  • All New Loc Installations
  • All Transfer Clients
  • Loc Repair / Reattachment Requests
  • Any client unsure of which service to book

Consultations help ensure proper timing, pricing, and the healthiest service plan for your hair and scalp.


3) CANCELLATIONS & RESCHEDULING

We understand life happens. Please provide proper notice so we can accommodate all clients fairly.

  • Cancellations must be made at least 24–48 hours in advance (your choice).
  • Same-day cancellations may result in loss of deposit and/or require a new deposit to rebook.
  • Reschedules outside the cancellation window may require a new deposit depending on availability and appointment length.


4) LATE ARRIVAL POLICY

Please arrive on time to receive your full service.

  • A 10–15 minute grace period is allowed.
  • Arrivals beyond the grace period may result in:
    • a late fee
    • a shortened service
    • or appointment cancellation (deposit will be forfeited)

Appointments are booked back-to-back, and late arrivals affect the entire schedule.


5) NO-CALL / NO-SHOW POLICY

  • No-call/no-show appointments will be charged 100% of the scheduled service total.
  • Clients who no-show may be restricted from future bookings.


6) HAIR PREP REQUIREMENTS

To provide the best results, all clients must arrive with hair that is:

✅ clean

✅ fully dried (unless your service includes cleansing)

✅ free of heavy oils, butters, wax, gels, and buildup

✅ properly detangled (when applicable)

If hair requires excessive detangling, prep, or correction, additional fees may apply or the appointment may be rescheduled.


7) TRANSFER CLIENT POLICY (Expanded Below)

Transfer clients are welcome at The Experience Hair Studio. However:

  • A Transfer Consultation is required prior to any maintenance appointment.
  • We will assess your loc foundation, parting pattern, scalp health, and loc condition.
  • Loc repair, detox, or corrective work may be required before routine maintenance is approved.


The Experience Hair Studio is not responsible for pre-existing damage, thinning, or foundational issues created by previous stylists, but we are happy to create a plan to improve loc health going forward.


8) CHILDREN POLICY (Children Welcome)

Children are welcome. To maintain a calm and safe environment:

  • Children must be at least [__] years old for loc services.
  • A parent or legal guardian must remain present for the duration of the appointment for all minor clients.
  • The child must be able to sit safely and calmly for the scheduled appointment time.

If a service cannot be completed due to excessive movement or inability to safely continue, the service will still be charged in full as time and products have been reserved.


9) GUEST POLICY

To maintain a peaceful and professional environment:

  • Only 1 guest is allowed unless approved in advance.
  • For child appointments: child client + 1 parent/guardian only.
  • Additional guests may be asked to wait outside.


10) SERVICE ADJUSTMENTS & ADD-ONS

  • Add-on services must be booked in advance whenever possible.
  • If time allows, add-ons may be added during the appointment.
  • Changes requested during the appointment may require additional time and fees.


11) REFUNDS & SATISFACTION

Due to the nature of beauty services:

  • All services are non-refundable.
  • If you have concerns, they must be communicated within 24–48 hours of your appointment so we can discuss solutions.


12) HEALTH & SCALP SAFETY

For the safety of your scalp and hair integrity, we reserve the right to refuse or modify services if we observe:

  • open sores, severe scalp irritation, or infection
  • excessive breakage/thinning that may worsen with tension
  • severe buildup requiring detox prior to maintenance

Our priority is healthy hair and long-term results.


13) PAYMENT METHODS

Accepted payment types:

  • Cash
  • Card
  • Zelle / Apple Pay


Full payment is due at the end of the appointment unless otherwise stated.

TRANSFER CLIENT POLICY (Transfers Welcome)

Transfers Are Welcome

The Experience Hair Studio gladly accepts transfer clients for traditional locs, microlocs, and sisterlocks. Every loctician’s method is different, so all transfer clients must follow the process below to ensure your locs are maintained correctly and safely.


Transfer Consultation Required

All transfer clients are required to book a Transfer Consultation before their first service.

Your consultation allows us to assess:

  • Loc size and density
  • Current condition of the locs (weak/thinning areas)
  • Scalp health and buildup
  • Tool compatibility (for microlocs/sisterlocks)
  • Time requirements and service recommendations


Transfer Acceptance

While we welcome transfer clients, not all transfers can be accepted immediately. Results and timing depend on:

  • Current loc condition
  • Previous maintenance pattern
  • Product buildup and scalp health
  • Whether repairs are needed prior to routine maintenance

If your locs require extensive repair, detox, or corrective work, those services may be required before we proceed with regular maintenance.


Retightening/Retwist Expectations

Transfer clients may experience a “transition period” during the first 1–2 visits as we:

  • Establish clean parting consistency
  • Correct pattern issues (when possible)
  • Restore overall neatness and balance

We do our best to preserve your foundation while improving long-term results.


Previous Work + Integrity Disclaimer

The Experience Hair Studio is not responsible for:

  • Improper loc foundations created by another stylist
  • Pre-existing thinning, breakage, or weak spots
  • Loc damage caused by prior tension, improper separation, or buildup

 

However, we can recommend a care plan to strengthen and restore your locs moving forward.


Transfer Hair Requirements

Before your first appointment:

  • Hair must be clean and product-free
  • Please avoid heavy creams, wax, oils, or gels prior to service
  • Detox may be required if there is significant buildup

Corrective Work Fees

Corrective services such as repairs, regridding, or reattachment may require:

  • Additional time
  • Additional fees
  • Separate appointment booking
